? Position Description: Chief Financial Officer Part-Time (50%) Year-Round Gateway School REPORTS TO:??Head of School POSITION SUMMARY:Gateway School is a CAIS-accredited independent school in Santa Cruz, CA serving 270 students in grades kindergarten through grade 8. The CFO position is primarily a ?value-added? role; the CFO leads a team of two full-time positions in the Business Office, and the Facilities/I.T. Manager, and various vendors.? All financial and administrative transactions are conducted by the Business Office personnel while the CFO is expected to prepare management reports, budgets and forecasts, long range financial projections, scenario planning, financial analyses for the board, Finance Committee and Head of School, and ensure the financial success and viability of the school. ? GENERAL AREAS OF RESPONSIBILITY: - Financial management and decision support
- Management reporting
- Internal business controls
- Support future acquisition of an owned campus, including negotiation of a long term loan, support for a capital campaign, and financial plans for financing, funding and spending on a new campus
- Revenue planning (tuition and fee rates, ancillary program fees), and expense planning and control
- Build relationships with Gateway School board members, banks, and CFOs of other CAIS schools
- Oversee the financial aid process
- Manage facilities and administrative I.T. through the Manager of Facilities and Admin I.T.
- Manage Human Resources Administration processes (benefits, new hire process, records, etc.)
- Risk management, including insurance, campus security and employee training
- Financial oversight of all ancillary programs of the school, currently including the Summer Program and the After Care Program.
- Liaison with campus lessor, neighbors, and City of Santa Cruz
SPECIFIC RESPONSIBILITIES: ????? The following are representative of the types of activities in which the CFO will be involved: - Oversee the Business Office functions including financial reporting, payroll, bank reconciliation, cash management, billing, accounts payable, investing, financial aid analysis, and human resources administration
- Cost center/department budgeting and expense control
- Prepare the annual financial plan and multi-year financial plans as needed
- Prepare monthly financial management reports for board ?
- Prepare financial research, benchmarking and analysis as required by the Head of School and the Finance Committee
- Develop financial models (primarily in Excel) to analyze various scenarios such as different tuition rates, differing enrollment levels, and other planning parameters
- Develop financial plans for various projects such as different new campus scenarios
- Work with Finance Committee to solicit and negotiate a loan for a new campus.?? Ensure that the school complies with all terms of any new loan and forecast/highlight any potential failure to comply well in advance so that appropriate action can be taken.
- Review the annual Form 990 and other external reporting requirements for accuracy
- Establish policies, procedures, standards and strategies for areas of responsibility and provide adequate internal control capabilities and strengths to safeguard the school?s assets and manage business risk
- Participate in managing the Purchasing function, which is shared among several managers
- Oversee administrative technology and facilities maintenance and renovations
- Administer and maintain all property, casualty and liability insurance for the school
- Review, update and implement school security and crisis management plans
- Review legal requirements in areas of responsibility and advise the Head of School on implications for the school
- Serve on the Head of School?s administrative team; attend board meetings and make presentations as required; member of the Finance and Executive Committees of the Board
- Work with the Development Department to support all fundraising processes
- Monitor and report on school investments to Finance Committee
- Working with the school?s benefits insurance broker, the Head of School and the Finance Committee, evaluate and select employee benefit programs?
